Turning a fragmented sales process into a guided workflow
- Flow
- Apex
- LWC
Context
A growing sales team relied on Salesforce but leaned on manual steps to keep records current and move deals forward. The details below are described generally to avoid exposing any confidential business information.
Challenge
Repetitive updates, disconnected handoffs, and work that should have been automated slowed the team down and made data less consistent. Without a guided process, steps were skipped and reporting suffered.
Constraints
Changes had to fit existing workflows, remain easy for administrators to maintain, and avoid disrupting active pipeline during rollout.
Role and responsibilities
Owned discovery, requirements, solution design, implementation, testing, and documentation for the automation work.
Discovery and requirements
Mapped the end-to-end process with stakeholders, identified the highest-friction manual steps, and defined acceptance criteria for each automated behavior.
Solution architecture
Used record-triggered Flows and validation rules for routine updates and guardrails, with Apex reserved for logic that configuration could not express cleanly, and a Lightning Web Component to streamline a key data-entry step. Simplicity and maintainability drove each choice.
Implementation
Built and iterated automation in a controlled environment, validated behavior against the agreed criteria, and rolled changes out with documentation for administrators and users.
Security and testing
Respected existing sharing and permission models, and verified automation and Apex against representative scenarios before deployment.
Outcome
Reduced manual data entry, improved data consistency, and streamlined daily operations by replacing manual steps with a guided, automated process.
Lessons and next steps
Guided automation improves both efficiency and data quality when it mirrors how the team actually works. A natural next step is extending reporting to track the process and surface remaining bottlenecks.
